This Privacy Policy explains how DATAppointment LLC (“DATAppointment,” “we,” “us,” or “our”) collects, uses, and shares information when you use our website, forms, SMS programs, and related services (the “Services”).

  • Account & Appointment Information: preferences, scheduling details, service communications.
  • SMS Program Metadata: opt-in/opt-out status, timestamps, delivery status, limited message logs.

  • Client-Provided Information: information we access within a client’s practice management system (PMS) or systems they designate, as authorized by that client.

How We Use Information

  • Provide, operate, and support the Services (including scheduling and client/patient communications).
  • Send transactional and service messages (confirmations, updates, reminders).
  • With consent, send marketing communications (you may opt out at any time).
  • Improve performance and user experience; perform analytics.
  • Detect, prevent, and address security/fraud; comply with legal obligations; enforce agreements.

If you opt into our SMS programs, our SMS Terms & Conditions apply. Message frequency varies by appointment and account activity. Standard message and data rates may apply. Reply STOP to cancel and HELP for help.

How We Share Information

  • Service Providers: vendors (hosting, analytics, messaging, CRM, support) under contracts requiring confidentiality and appropriate safeguards.
  • Client Direction: at a client’s written direction or as needed to fulfill our obligations as a service provider/business associate.
  • Legal & Safety: to comply with laws or lawful requests, or to protect rights, safety, and property.
  • Business Transfers: in connection with a merger, acquisition, or asset transfer, consistent with applicable law.

We do not sell your mobile number. No mobile information will be shared with third parties/affiliates for marketing or promotional purposes. All categories in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Healthcare Information

DATAppointment LLC provides services to healthcare practices and uses their practice management systems at their direction. We follow reasonable safeguards to protect any sensitive information we access through these systems. Clients are responsible for ensuring their own compliance with applicable healthcare privacy laws, including HIPAA.

Your Privacy Rights

Depending on your location (including California), you may have rights to access, correct, or delete certain personal information; to limit certain processing; and to opt out of marketing. We do not sell personal information, including mobile numbers. To make a request, email info@datappointment.com. We will verify and respond consistent with applicable law.

Data Security & Retention

We use reasonable administrative, technical, and physical safeguards. No method of transmission or storage is 100% secure. We retain information as needed to provide the Services, meet legal obligations, resolve disputes, and enforce agreements. For PHI handled as a Business Associate, we follow applicable BAA retention/disposal requirements.

Children’s Privacy

Our Services are not directed to children under 13, and we do not knowingly collect personal information from them.

Changes to This Policy

We may update this Policy from time to time. If we make material changes, we will post the updated Policy with a new “Last updated” date.
